Who we are
GROTEC Air Conditioning, also known as GROTEC and GROTEC Mechanical Services Pty Ltd (“Grotec”, “we”, “us”) provides air conditioning installation, servicing, repair and maintenance across greater Melbourne. We are committed to protecting your privacy and handling your personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles.
We have adopted the Australian Privacy Principles (APPs) contained in the Privacy Act 1988 (Cth). The APPs govern the way we collect, use, disclose, store, secure and dispose of your personal information. What we collect
When you submit an enquiry form, we collect: your name; your phone number; and, where you provide them, your email address, company name, suburb or location, the type of work you need, and any details you include in your message.
We may also collect personal information through other channels, including correspondence, telephone and email, and from media, publications and other publicly available sources. The information we collect may include names, addresses, email addresses and phone numbers.
When you browse the site, we also collect limited technical information: pages viewed, approximate location, referring website, and browser and device type. To prevent automated abuse of our enquiry forms, we store a one-way cryptographic hash of your IP address. We do not store your IP address itself, and the hash cannot be used to identify you.
We do not collect payment details, government identifiers, or sensitive information through this website.
How we use it
We use the information you give us to: respond to your enquiry and arrange a call back; prepare a quote and schedule work; provide the services you ask for; keep records of work performed; protect our forms from spam and automated abuse; improve our website and understand which of our pages are useful; and meet our legal and regulatory obligations.
We will only use your information for the purpose you gave it to us, for a directly related purpose you would reasonably expect, or where you have consented or the law requires it.

How we store and protect it
Enquiry details are stored in a secured, access-controlled database. Access is limited to people who need it to respond to you or deliver the work. We use encrypted connections between your browser and our systems, and we take reasonable steps to protect information from misuse, interference, loss, unauthorised access, modification and disclosure.
No system can be guaranteed completely secure. If a data breach occurs that is likely to result in serious harm, we will notify you and the Office of the Australian Information Commissioner as required by law.
How long we keep it
We keep enquiry records for as long as needed to respond to you and to meet our legal, tax and warranty obligations, after which we securely delete or de-identify them. Abuse-prevention data, including hashed IP addresses, is kept only as long as needed for that purpose.
Accessing and correcting your information
You can ask us for a copy of the personal information we hold about you, and ask us to correct it if it is inaccurate, out of date or incomplete. Contact us using the details below. We will respond within a reasonable period. There is no charge to make a request, and if we refuse access we will tell you why in writing.
Complaints
If you believe we have mishandled your personal information, please contact us first using the details below so we can try to resolve it. We will acknowledge your complaint and respond within a reasonable period.
